online examination management system

Digiproctor is a full-featured digital examination solution

While there may be other solutions which offer proctoring, they cannot be equated to DigiProctor, because unlike others, Digiproctor is not just an online proctoring platform.

Digiproctor is a Complete multi-module end-to-end digital examination solution in which test delivery and proctoring is just one component.

Digiproctor provides a highly secure, reliable, and scalable platform for proctored test delivery across laptops and mobiles covering both MCQ and subjective tests – but this is just one of its capabilities! Digiproctor is designed to facilitate universities to transform and transition their entire examination process and workflows into digital mode.

To enable this, Digiproctor has 5 inbuilt roles and supports activities associated with the roles – Controller of Exam role, Exam office staff role, Question paper creator role, Proctor role, and Evaluator role.

Digiproctor solution – modules

A brief overview of Digiproctor modules are as below:

1. Student & Test data module

Digiproctor solution has in-built pre-examination workflows and orchestration, including ingestion of student and test data from university IT systems, validating the data both at the back-end as well as getting students to self-validate their data on personalized web pages created for each student.

Digiproctor also creates personal dashboards for each student where they can log in to view university notifications, view their test schedule & details, get their test keys and also view their results post-exam (in case the exam office permits it). The students can view both MCQ as well as the subjective answer sheets they uploaded during their exam.

2. Training & Communication module

Training - Digiproctor solution includes comprehensive flows to train students and professors through a system of webinars, easy-to-understand guides and videos, mock tests, demos, and Q&A sessions.

The training is done for students, as well as professors who have been assigned the roles of Controller of Exam (CoE), exam office staff, question paper creators, proctors, and evaluators.

Communication - Transitioning to the new mode of online examinations requires universities to initiate a major change management process to prepare students and professors to adapt to the new environment.

Digiproctor solution includes creating the messages that the exam office has to send to students and professors for the transition, and what should they do to prepare for it.

To communicate with students and professors, before/after, and during the exams, Digiproctor has in-built workflows that include:

  • SMS-Digiproctor sends all students SMS intimating them various events including sending them a reminder on their upcoming tests. The SMS can be customized with the university’s registered SMS-ID.
  • Emails – Digiproctor sends out emails to students and professors notifying various events, and also as a backup of OTP sent by SMS. The emails are sent from Digiproctor domain but can be customized to be sent using the university's email domain. Also, the body of the emails and logos can be customized as per university formats.
  • Mass notification – the CoE can send mass notifications to all students taking the exam. The message will be flashed on the screens of all students.

3. Question paper module

The CoE can assign internal or external professors for creating Question Papers (QP) for different tests. Digiproctor manages the entire workflow – sends out emails to assigned professors, creates login accounts and dashboards for QP creators where they can log in and create their papers (the login is secured using OTP and Google Authenticator).

The CoE can track in real-time the progress of QP creation by different professors, and take necessary actions if delays are anticipated.

  • Question Paper Leaks – Media has covered many cases of question paper leaks which can be very embarrassing for the concerned universities. Digiproctor allows the university to secure the entire QP creation and handling process.
  • Encryption – All QPs created in Digiproctor are encrypted using AES-256 (which is a military-grade encryption algorithm). Only the CoE has the decryption key – not even Digiproctor platform.
  • Multiple QPs – Digiproctor allows the CoE to assign multiple professors to create QPs for the same subject - and when they submit their QPs, the CoE can encrypt them all and select anyone out of them just before the exam. By doing this, QP-leakers would not know which QP will be used.
  • Fragmented QPs – Digiproctor allows CoE to assign multiple professors to create QPs for the same subject, and then on receipt of their QPs, the CoE can choose questions from different QPs to create a new QP and encrypt it.

4. Evaluation module

The CoE can assign internal or external professors for evaluating students’ Answer Papers for different tests in the examination, and also define by when the evaluators must complete their evaluation. The CoE can track in real-time the progress of how many students’ answer papers have been evaluated by each evaluator.

The CoE can assign the evaluation task to professors based on the following:

  • Fragmented Answer Papers- the CoE can assign different questions within the answer papers to be evaluated by different evaluators. For example, questions in Section-A can be assigned to one professor, and questions in Section-B can be assigned to another.
  • Multiple evaluators – Digiproctor allows the CoE to assign all students answer sheets to a single evaluator or split the student's answers sheets to different evaluators
  • Overlapping evaluators – Digiproctor allows CoE to assign more than one evaluator to mark the same students’ answer papers; and from the marks allotted by the different evaluators either take the highest mark or the average mark as the final mark.
  • By student profile – Digiproctor allows CoE to assign students to evaluators based on their batch, branch, or section. Evaluators can be assigned students from multiple batches, branches, and sections.

5. Proctoring module

  • Self-proctoring - Digiproctor allows proctoring work to be outsourced to a third party as a managed service, or carry out "self-proctoring", where the CoE can assign an unlimited number of internal or external professors/staff as proctors.
  • Virtual Rooms - The proctoring module allows the examination office to define any number of virtual rooms to which students can be assigned. Proctors too can be assigned to the virtual rooms, and they can see the students who have been assigned that same virtual room.
  • By this, as an example, all students of a course can be assigned the same virtual room, or students of each section of that course can be assigned to separate virtual rooms and the faculty teaching them can be assigned as a proctor to those virtual rooms. This then would be like students taking the exam in their own classroom with their teacher invigilating them.
  • AI augmentation and Trust Score – Digiproctor augments the task of the proctor with help of AI, which reduces the trust score (starting at 100 at the beginning of the test) if there is any non-compliant behaviour detected at the student-end – like moving out of the camera coverage, multiple faces detected, or different person taking the exam, etc.
  • Remote control– Digiproctor allows proctors to pause or terminate a student who is not adhering to correct norms. The proctor can initiate a remote 360-degree environment scan, where the student's test is momentarily paused and the student is asked to scan the room using their mobile or laptop camera, which prevents cheating. The proctor can also initiate Chat sessions with the student, and view them on video; and the proctor can see the screen of the student’s laptop or mobile and also view their device camera captures.

6. Result & analytics module

  • Question paper tagging - Digiproctor provides question paper creators the option to tag questions they create. Tagging provides the university and students a clearer insight into their level of knowledge.
  • Tag on topic/sub-topic – This tag defines which specific topic or sub-topic the question is related to. This helps to zero down on the student’s grasp of the subject at a more granular topic/sub-topic level.
  • Tag on Bloom's Taxonomy category – This tag defines whether the question is intended to test the ability of the student to ‘recall’ information about the topic, test the student’s ‘understanding’ the topic, or ‘apply’ knowledge of the topic in situations. This helps to zero down on the student’s level of skill/knowledge.
  • Performance analysis - Performance analysis - Digiproctor provides universities and students a detailed view of performance in the examination. The examination office can view the results of the class as a whole or of individual students, and gain insight into their performance at a topic/sub-topic level, which helps faculty focus on topics where students are found weak. The students’ performance, based on Bloom's categories, provides faculty insight into their overall level of skill/knowledge as compared to learning objectives, which helps them tailor their classes as needed.
  • If the examination office permits, students can see their results by logging into their account. They can see how they performed in the test, the specific topics and sub-topics they need to focus on, and see how they compare with the rest of the class.
  • Test analysis - Digiproctor provides the CoE and examination office with the detailed question paper and test analytics including Kuder-Richardson Formula 20 (KR-20), which tests the reliability of the test, Option guessability which tests whether the options in an MCQ-type question provide the necessary distraction to inhibit guessing, Question difficulty index which tests how tough the class found the question, Question abnormality, which tests whether the answers to MCQ-type questions are appropriate.
Conclusion

To conclude, Digiproctor is much more than a plain online proctoring tool. It is designed to add value and make the university’s digital examination process effective and productive.
